1. Start early and appoint a project leader

A successful office relocation starts three to six months in advance. Appoint one internal project leader who keeps the overview, makes decisions and acts as the single point of contact for the moving company. This prevents agreements from falling through the cracks.

2. Create a relocation plan with clear deadlines

Work backwards: when does everyone need to be operational at the new location? Plan back from that moment — handover, fit-out, IT installation, packing week, communication moments. A good relocation plan turns a chaotic moving day into an executable schedule.

3. Use the move as a decluttering moment

Don’t move dead weight. Old files (mind the legal retention periods), written-off furniture and equipment nobody uses anymore: this is the moment to say goodbye. Everything that doesn’t come along doesn’t need to be packed, transported and unpacked — which directly saves on costs.

4. Treat the IT move as a separate project

Servers, workstations, telephony and internet connections are the Achilles heel of every office relocation. Make sure the internet connection at the new location works before moving day, back up all systems, and let your IT department or partner determine the order: what goes offline last and comes back online first?

5. Communicate early with your employees

A move raises questions: how do I get there, where do I park, where does my team sit? Inform employees well in advance, give them clear packing instructions for their own workstation and make one person per department responsible. Engaged employees make the transition smoother — and moving day a lot lighter.

6. Move outside office hours

The best office relocation is one your clients never notice. That’s why we often move offices in the evening, during the weekend or in phases per department. Pack up on Friday afternoon, work from the new location on Monday morning: downtime limited to zero working days.

7. Label everything per workstation and use a floor plan

Give every box and every piece of furniture a code that corresponds to a spot on the floor plan of the new office. Our movers then place everything directly in the right spot — and on Monday morning your team simply unpacks at their own desk instead of searching through a mountain of boxes.

8. Pack electronics professionally

Monitors, computers and printers are fragile and expensive. Use the right protective materials, photograph the cable connections before unplugging them and transport equipment upright. 9. Don’t forget the administrative side of the move

Your new address needs to be correct everywhere: at the Chamber of Commerce (KvK), your bank and insurers, on your website and stationery, in email signatures and — often forgotten, but crucial for your visibility — in your Google Business Profile. Also arrange a mail forwarding service in good time.
